Why Every School Needs a Written AUP

An Acceptable Use Policy establishes the legal foundation for how a school can monitor, investigate, and discipline users of its digital infrastructure. Without a signed AUP on file, schools face significant barriers when imposing consequences for misuse — whether that's a student bypassing content filters, a staff member downloading copyrighted material, or a BYOD user connecting an infected device to the school network.

A well-drafted AUP also protects the school in data protection audits. Regulators expect to see documented notice to users that network activity is monitored and logged. An AUP that clearly states monitoring practices — and obtains signed acknowledgement — satisfies this requirement and reduces liability exposure under GDPR, FERPA, and equivalent frameworks.

"We update our AUP every September. Previously it took me most of a day to pull together. This tool generates a complete, compliant policy in 20 minutes — then I just adjust the wording and print."

"The BYOD template was exactly what we needed when we rolled out our 1:1 device programme. The prohibited activities section covers AI use — something older templates don't address at all."

"We needed separate policies for primary and secondary campuses. Being able to generate a Student AUP and a Staff AUP in separate passes — each with the right campus details — saved hours."

"The monitoring disclosure section is what makes this policy GDPR-ready. It explicitly notifies users that activity is logged, which satisfies our DPA requirements without needing legal review."
