FERPA Records Requests: What Schools Must Know
Under FERPA, schools must respond to eligible records requests within 45 days. When releasing records, the response must be in writing and should document what was provided and in what format. When denying a request, the denial letter must state the specific legal basis and inform the requestor of their right to appeal.
A common source of compliance risk is the partial release scenario — where some records can be released but others cannot (for example, a file that contains both the requesting parent's child's records and references to third-party students). Schools must document exactly which records were withheld and why, to defend any subsequent appeal or OCR complaint.
UniCloud360 includes records request logging, response tracking, appeal workflows, and full audit trails designed for FERPA compliance.

"We handle dozens of records requests each year. This tool generates a properly worded denial letter — including the correct FERPA section — in under five minutes. No more scrambling for the right language."
"The partial release template is something I haven't seen in any other free tool. Documenting exactly what was withheld and why is critical for OCR audits — this handles it automatically."
"New staff members used to draft inconsistent response letters. Now we send everyone here for a standardised letter. The appeal rights section is auto-included so nothing gets forgotten."
"The Records Not Found template was exactly what we needed for alumni who contact us about records from programmes that closed years ago. Clear, professional, and gives them useful next steps."
