How to Use the Club & Society Manager in 3 Steps

Follow these steps to get results in under a minute

01
Enter club details and objectives
Fill in the club name, type, faculty advisor, year established, and registration number. Add an optional mission statement or objectives paragraph — this appears in the printed report and is useful for accreditation and annual society submissions.
02
Add members and assign leadership roles
Add each member with their student ID, year of study, and role. The report automatically separates the executive committee (President, Vice President, Secretary, Treasurer, Coordinators) from general members to display the leadership hierarchy clearly.
03
Log funding allocations and export
Enter all funding sources — institution grants, membership fees, sponsorships, alumni donations, or external grants — with amounts and purposes. The report calculates the total budget and shows a funding breakdown. Click Print / Save PDF to export.

"We require all registered clubs to submit an annual membership and funding report. Previously this required email chains and spreadsheet consolidation. This tool lets club presidents submit a formatted PDF in under ten minutes."

"The leadership hierarchy display is exactly what our Student Affairs Board needs for governance reporting. The automatic separation of executive roles from general membership makes the power structure immediately clear."

"I used this to prepare our funding report for the semester end review. The funding breakdown by source and the total budget line were exactly what the finance office asked for — I didn't need to build a separate spreadsheet."

"The planned activities section is a small but important addition. Clubs that document their event pipeline in advance show stronger institutional commitment during recognition reviews, and this tool makes that documentation effortless."
