Common Questions

Free Renewal Criteria Checker — FAQ

What is a renewal criteria checker?
A renewal criteria checker validates whether a student meets all the conditions required to continue receiving a scholarship, bursary, or other award into the next academic period. It checks criteria such as GPA, attendance, conduct, and programme-specific requirements against defined thresholds and returns a clear per-criterion and overall verdict.
What scholarship types are supported?
The tool includes presets for Academic Merit, Need-Based Bursary, Sports Scholarship, Arts/Creative Scholarship, Community/Leadership Award, STEM Scholarship, Government/National Grant, and Custom/Other. Selecting a type auto-loads the relevant criteria and standard thresholds, all of which you can adjust to match your institution's requirements.
What do the three verdict levels mean?
Eligible means the student meets all required renewal criteria and renewal can proceed. Action Required means all required criteria are nominally met or borderline — additional documentation or advisor review is needed before a final decision. Not Eligible means one or more required criteria were not met and renewal cannot proceed without a formal appeal.
What is the difference between Required and Advisory criteria?
Required criteria are hard eligibility gates — failing any one makes the student Not Eligible. Advisory criteria are recommended standards that flag areas of concern if not met, resulting in Action Required rather than automatic rejection, giving advisors discretion to consider context and extenuating circumstances.
Can I adjust the thresholds to match my institution?
Yes — every numeric threshold in the criteria table is editable before you run the check. Simply click the threshold field and type your institution's value. The tool uses your custom thresholds when you click Check Renewal Eligibility. Boolean criteria (Yes/No) use a fixed threshold of 'Yes required'.
Can the PDF report be used as an official record?
The PDF report includes the student's details, scholarship name, renewal period, a full criteria breakdown with thresholds and student values, the overall verdict, and next-step guidance. It is suitable for attaching to scholarship files and audit trails, but final renewal decisions should follow your institution's formal scholarship review policy.

"We process renewal assessments for over 300 scholarship holders each semester. This tool standardises what used to be a subjective process — every advisor now uses the same criteria and thresholds, and the PDF gives us an audit trail."

"I wasn't sure if my attendance dip last semester would affect my bursary renewal. Running this before meeting my advisor meant I already knew which criteria were borderline and came prepared with my medical evidence."

★★★★☆

"The Action Required middle tier is genuinely useful — it stops us making binary rejections for students who are 2% below the attendance threshold when there are mitigating circumstances worth reviewing."

★★★★★

"The custom type lets us enter our own thresholds, which differ from the defaults. Takes two minutes to set up per scholarship programme and the output is consistent and professional every time."
