Why every university needs a standardised student ID card
A student ID card is more than a piece of plastic — it is the primary credential used to verify student identity at examinations, in libraries, at campus facilities, and when interacting with administrative offices. An inconsistently designed or poorly produced ID card creates friction at every one of these touchpoints.
For private higher education institutions in Sri Lanka, the student ID card is also a brand artefact. Students carry it daily, show it to employers during internship applications, and use it to access partner institution libraries. A professional, clearly designed card communicates institutional credibility in a way that documents and emails cannot.
What a complete student ID card should include
- Student full name and photograph — sufficient for visual identity verification at examination halls and campus entry points.
- Student ID number — the unique identifier that links to the student record in your SIS. Also encoded in the barcode or QR code for scanner-based verification.
- Programme and batch year — allows staff to quickly confirm enrolment status and cohort without database lookups.
- Institution name and logo — establishes authenticity and communicates institutional affiliation for external use.
- Validity date — ensures expired cards are rejected at controlled access points and prompts annual re-issuance to keep records current.
- Barcode or QR code — enables electronic scanning for attendance, library checkouts, and examination registration verification.
Frequently asked questions
The ISO/IEC 7810 ID-1 standard (85.6mm × 54mm) is the international credit card size and the most commonly used format for student ID cards worldwide. Most card printers and lanyards are designed for this size. This template generates a card at that proportion for consistent printing results.
Both have legitimate uses. Linear barcodes are faster to scan at high-throughput points like examination registration desks and library counters. QR codes can encode richer data — a URL pointing to the student's digital record, JSON metadata, or a verification endpoint — and are more useful for integration with smartphone-based systems. If your institution uses both gate scanners and phone-based verification, include both.
Annual re-issuance is standard practice at most private HEIs. It serves two purposes: it forces a validity check confirming the student is still enrolled, and it allows the institution to update programme information as students progress through their degree. Set the validity date to the end of the academic year and tie re-issuance to the annual re-enrolment process.
This tool generates a single ID card template for preview and download. For bulk generation — producing hundreds of personalised cards from a CSV or directly from your student registry — use the Bulk Student ID Generator, which supports CSV upload, logo embedding, and batch PDF export.
For small volumes under 200 cards, a standard desktop printer using pre-cut CR80 PVC card stock or laminating pouches produces acceptable results. For larger volumes, a dedicated ID card printer (Zebra, Evolis, or Magicard) with YMCKO ribbon produces durable, professional results with over-laminate protection. Most Sri Lankan private HEIs contract a print partner for annual bulk card runs.
UniCloud360's Student Information System syncs with your student registry and auto-generates personalised ID card PDFs on enrolment — eliminating manual CSV preparation for every intake.
