Common Questions

Free Work-Study Hours Calculator — FAQ

What is a work-study award and how does this calculator help?
A work-study award is a financial aid allocation that allows a student to earn money through part-time on-campus or community-service employment. The award sets a maximum amount the student can earn — once reached, they must stop working or forfeit the overage. This calculator shows how many hours per week you need to work to earn your full award before the period ends.
What happens if my recommended hours per week exceed the institutional maximum?
If the required pace exceeds your institution's maximum weekly hours, the status banner flags a warning. This means you cannot earn the full award at your current hourly wage within the time remaining. Options include requesting more hours per week (if policy allows), asking your supervisor about an hourly rate increase, or understanding that a portion of the award will remain unearned.
What is the difference between the three pacing scenarios?
The Recommended scenario spreads your remaining hours evenly across the remaining weeks. The Accelerated scenario finishes 2 weeks early, giving you a buffer in case of illness or other absence. The Relaxed scenario spreads hours over 2 extra weeks — this is only possible if your award period can be extended, so check with your financial aid office first.
Should I aim to earn my full work-study award?
Generally yes — work-study earnings do not count against your financial aid eligibility in future years the way other income might, and the funds are set aside specifically for you. However, you should never work so many hours that your academic performance suffers. Balance your weekly work hours with your course load and other commitments.
What is the 'max hours per week' setting?
Most institutions cap work-study hours at 15–20 hours per week during term time to protect academic performance and comply with labour regulations. Enter your institution's specific limit. The tool uses this to flag whether your required weekly hours are feasible and to shade the scenario cards accordingly.
Can I use this for non-US work-study or part-time campus employment?
Yes — the currency selector supports USD, GBP, EUR, INR, LKR, AUD, and CAD. The calculation logic (award ÷ wage = hours needed) applies to any campus employment programme where a student has a fixed earnings budget. Simply enter your local programme's award amount, wage, and period.

"I now share this with every new work-study student during orientation. The three pacing scenarios help them understand they have flexibility — and the max-hours warning stops students from accidentally violating their employment agreement."

"The CSV export is particularly useful — I can give each student a personalised week-by-week earnings schedule at the start of the semester and check in against it at mid-term. Saves a lot of back-and-forth."

★★★★★

"Previously students would just show up and work whatever hours suited them, then panic near the end. Now I send them here at the start of the period and the scheduling conversation is much more structured."
