How to Analyse Staff Workloads in 3 Steps

Follow these steps to get results in under a minute

01
Set department and thresholds
Enter the department or faculty name, the contracted maximum hours per week, the overload threshold percentage, and the available capacity percentage. These parameters define when staff are flagged as overloaded or available for additional assignments.
02
Add each faculty member
For every staff member, input their weekly hours broken down by category: lectures, research, committee duties, administration, and other roles. All categories are summed to produce a total weekly workload.
03
Review flags and export
Staff above the overload threshold are flagged in red; those below the available capacity threshold are flagged in green. The chart and table show the breakdown by activity type. Export a PDF for HR or academic management review.

"We had a long-standing issue where some senior lecturers were taking on too many committee roles on top of a full teaching load. This tool made it visible to the Dean immediately — we restructured three departments within the same semester."

"The breakdown by lecture, research, committee, and admin hours is exactly the level of detail our accreditation body asks for. Previously we compiled this from four separate systems. Now I just enter the hours and export the PDF."

"The overload threshold is configurable which matters — our contracted hours differ for professorial and lecturer grades. Being able to set the percentage rather than a fixed number makes this tool universally applicable."

"Very useful for semester planning. We use the available capacity flag to identify who can take on a new module or research supervision without breaching their contract. Saves a lot of back-and-forth with heads of department."
