How to Calculate Your SSR in 3 Steps

Follow these steps to get results in under a minute

01
Select an accreditation standard
Choose the accreditation body your institution is targeting — QAA, TEQSA, NAAC, MQA, or QAHE — or enter a custom benchmark ratio. The tool uses this to evaluate each department's compliance status automatically.
02
Add each department with FTE counts
For every department or faculty, enter the full-time equivalent (FTE) student count and the FTE academic staff count. Part-time students and staff should be converted to FTE fractions before entry.
03
Review compliance and export
Departments exceeding the benchmark ratio are flagged as Non-Compliant. The report shows the institutional overall SSR, individual department ratios, and compliance status. Export a PDF for accreditation submissions or academic governance review.

"We submit SSR data to our accreditation body every two years. Previously this took two days to compile from HR and registry systems. This tool produces a compliant department-level SSR report in under ten minutes."

"The FTE conversion note is important and often overlooked by institutions. Being reminded to convert part-time staff to 0.5 FTE before entry prevented us from under-reporting our ratio at the last accreditation cycle."

"The ability to set a custom benchmark is very useful. Our ministry uses a 1:18 ratio which is stricter than TEQSA. Being able to input that and see which departments are non-compliant against our own internal standard saves considerable effort."

"I present the SSR report to the Academic Board every semester. The PDF output is clean and professional — it goes directly into the board pack without any reformatting."
